What is the message function and who can be assigned
EasyTranslate provides a flexible framework for highly customized workflows, where both freelancers from our curated pool of linguists and your internal collaborators can be assigned tasks and roles. The message function is designed to support this collaboration across teams and provides an easy way to get in touch with your freelancers and/or internal team members who are active participants in your localisation flow. This feature allows you, for example, to start a conversation between a translator and a reviewer to discuss terminology, directly message the colleague handling a final task review, share reference materials with the entire localization team and more.
To get started click on Messages at the bottom of the side bar. This will open the Messages function where you can browse the following 4 available categories: Channels, Direct messages, Group messages and Project messages.

A channel is a dedicated space where you can connect with your team to communicate, share files, and collaborate on a specific topic or project. Channels are typically created for ongoing, long-term projects, to support team discussions and promote knowledge sharing. You can create multiple channels and give them a name to indicate the purpose and scope. Don’t forget to include all relevant stakeholders.
To start a channel, click on the + icon to open the following dialog:
Name: Give the channel a name which indicates the purpose of the space - e.g., Coca Cola Marketing Strategy
Description: Briefly describe the purpose of the channel
Somebody, someone…: Choose the team members you would like to include in the conversation. Simply start typing their name and select them from the drop-down.
Click on Create channel and start to communicate!

You can add or remove members by clicking on the three dots. You also have the possibility to leave a conversation.

Good to know:
- Freelancers don’t have the permission to start a channel.
What is a direct message
A direct message (DM) is a feature that enables private, one-to-one communication with a specific participant. Only you and the assigned contributor will see these messages. You would typically use a DM when you need to send specific information to someone, such as requesting a faster delivery of a task or specifying stylistic preferences. To initiate a direct message, click the + icon, click anywhere in the To:-field, select the person from the dropdown menu, and start typing. Your message can include any necessary written info, as well as attached images and files for reference.

- All contributors can start direct messages
What is a group messages
A group message provides a space for you and your team to communicate and collaborate. It is comparable to a channel but is typically used for short term assignments rather than large projects. It helps to quickly share information between you and select participants. To create a group message, click on the + icon and select the collaborators you would like to add. Once you are ready, click on Create group message.
Good to know:
- All participants will receive a notification once they are added to a group message
- Freelancers can’t start a group message
What is a project message
A project message is related to one specific project and can only be initiated via the respective project, not in the Messages section of the platform. To initiate the conversation navigate to the workspace, open the respective project and click on Message freelancers.

This will open a chat including all assigned freelancers working on this specific project - irrespective of the language they are working on. This gives you the opportunity to relay information and details to all involved linguists at the same time.

Project messages are subsequently listed in the Messages section under Project messages, with each message clearly marked by its project ID.
Good to know:

Once the project is completed, the freelancers no longer have access to reply to your project messages.
- It is not possible to create a project level message for a HumanAI task.
How to manage messages
If you wish to attach files to a message click on the pin icon and choose the file you wish to share. To send a message click on the paper plane icon.
To save or delete any part of a conversation click on the three dots on the right side of any particular message in the thread and choose Save item or Delete message.

You can access saved messages by clicking on Saved items on the top left. This will open an overview of all saved items incl. their attachments. To access new conversations that you have not yet checked click on Unread messages.
How are message notifications organised
The system is designed to manage the message flow for you. The larger the team, the more messages and notifications you will receive. Therefore, the system will send you an email every 10 minutes summing up your notifications, so you do not receive one email for every message that is sent to you. If you have multiple accounts, you’ll need to log into each one to find the respective messages.
